Member Services Frequently Asked Questions
Is Orientation and Onboarding Required?
PLEASE NOTE:  Participants taking the new Avalon XTREME class do not need to do an orientation session, although you are absolutely welcome to set one up!  We will be providing a short orientation at the beginning of these classes to orient everyone.

At Avalon CrossFit we require you to take a FREE 1/2 hour orientation session, even if you have been CrossFitting at another affiliate.  These are easy to schedule and gives us a chance to help you figure out how to best use your membership or class pack so you get the most value.  It also helps you determine which level of class will work best for your current skill level.  You'll also get to do CrossFit "Baseline" an excellent test of cardiovascular fitness and strength to weight ratio.  If you want to get started right away, and can't make the next available orientation session, just send us an e-mail at info@avalonpersonaltraining.com .

If you are new to working out at a CrossFit Affiliate, we require that you start with any of the following options:
2 Session Onboarding, 30 Day Fit Plan , or any of our other personal training or onboarding options.

Many of our clients find that the four or 10 session onboarding is even more beneficial, and many clients find that even though they may have been crossfitting on their own or at other affiliates, they did not know the correct way of performing many of the exercises- particularly the olympic lifts.  The two onboarding sessions can be either Basic Onboarding, which prepares you for beginner, Kettlebell, and Bootcamp classes, or Advanced, which prepares you for our All Levels CrossFit classes.  We will help you determine which onboarding you'll need when we meet for your orientation session if you are unsure.  Any questions can be directed to info@avalonpersonaltraining.com.

Guest Passes
Please note:  All guests must have an Avalon account and be pre-registered to attend class.  Guests are not allowed to attend open gym, or the 6AM classes.  The best classes to invite a guest to are our CrossFit Bootcamp classes and our Kettlebells, Abs, and More classes.  Our regular CrossFit classes can be difficult to join in if someone has never participated in CrossFit before.  For this reason, they should not participate in any of the Olympic lifts (snatch, clean and jerk) and instead can use one of our beginner substitutions.  If your guest has been doing CrossFit at another box, please let the instructor know.  We reserve the right to restrict guest passes being used on any class and currently, they are not allowed for 6AM classes.

Each monthly unlmited member or pre-paid unlimited member is allowed up to 1 guest pass for 1 class each month.  Passes do not roll over to the next month.  To redeem your guest pass, please have your guest create an account here:
http://clients.mindbodyonline.com/ws.asp?studioid=9138&stype=-2

Once your guest has completed all necessary information, you can e-mail info@avalonpersonaltraining.com to request their guest pass loaded into their account.  Every guest must pre-register and must have an Avalon account.  We can not accomodate mystery guests or guests with e-mails matching yours, so please make sure the account information is accurate.

Class pack members and 1x, 2x, and 3x per month members can have their guest create an account following the steps above and either contact info@avalonpersonaltraining.com to enable sharing of their pack, or if you have a membership, you should purchase a single class pass for your guest or instruct your guest to purchase a pass on their own.  Please e-mail info@avalonpersonaltraining.com to let us know which class you are bringing your guest to so we can make preparations if your guest has not done CrossFit.  We do not allow walk-in guests at all.  We do run a number of free guest classes throughout the year which do not require payment, so please be sure to take advantage of those!

Monthly Body Fat Testing
Monthly unlimited and pre-paid unlimited members can receive up to 1 complimentary body fat testing appointment per month.  Tracking sheets are provided. If you are not a unlimited member, but wish to have your body fat tested, you can purchase a body composition analysis here for $25.00.  The body composition analysis includes body fat testing and measurements of 6 areas.  The appointment lasts approximately 30 minutes. Please e-mail info@avalonpersonaltraining.com to set up an appointment and remember, appointments need to be done prior to a workout, not after.

Open Gym
All monthly memberships and prepaid memberships include unlimited open gym access.  We ask that you pre-register for your open gym time and we reserve the right to cancel, change, or modify open gym times.  If you are not a monthly member, but wish to attend open gym, you can purchase a single class pass or class pack and use the class pass to attend.  You must be pre-registered to attend.

Refer a Friend Promotions
We periodically run refer a friend promotions.   To qualify, your referral must be made between the qualifying dates of the promotion and must meet all guidelines of that promotion.   Our current promotion starts February 10, 2012 and runs until August 15, 2012.  If you refer a client to Avalon directly, or through an approved partner deal such as Couptessa, and if they join with any of the membership options and stay at least 3 months, you will receive a $25.00 credit towards your membership fee normally charged in what would be their 4th month as a member.  Refer two friends and receive a $50 credit ! If you are a non-member, and refer a friend who joins with any of the membership options and stays 3 months, you'll receive a $25.00 credit that can be used towards class packs, PT packages, or an enrollment fee added to your account in in what would be their fourth month for each friend referred. Please direct all referrals to info@avalonpersonaltraining.com  so we can appropriately track.  Referrals who only purchase class packs do not count as part of this promotion.

Towels
We provide complimentary towel service both for the shower and for use during your workout here at Avalon.  We strongly encourage you to use the towels as this helps keep the environment clean for other members.  Please deposit all dirty towels in the dirty towel bins at  the exits.

Membership FAQ:

1.  Memberships auto-bill on a monthly basis and when your first year is up, it will auto-renew at the original rate you paid, not the current rate.  SO, if you bought in at $150/month, your membership will auto-renew for your second year at $150/month as long as you have not cancelled.  You will not need to pay the enrollment fee upon renewal.

2.  Booking classes-  prepaid memberships can book up until the end of their pre-paid period- if you pre-paid for a year, you can book out a year in advance.  If you have a monthly membership, you can book out until your next billing period.  If you bought a class pack, you can book out until all your class passes are used up.

3.  Late Cancel/Early Cancel and Wait List features.  Our scheduling system allows you to late cancel (with less than 24 hours notice and you will not get credit back for your class), early cancel (with 24 hours notice and you will get credit back), and add yourself to the wait list. If you add yourself to the wait list, you will be the first to get into a class as spots become available from late and early cancels and also, if Avalon temporarily increases a class size due to the class being outside or the type of workout, those on the waitlist will be first to be added.  Starting in February 2012 Avalon will charge a $2.00 fee for all monthly unlimited members and unlimited prepaid members for each no-show to a class.  A no show means you did not cancel through the system (early or late) and/or you did not call in or e-mail prior to the start of class to cancel your visit.  Personal Training Appointments must be cancelled and/or rescheduled 24 hours prior to the scheduled appointment by e-mailing info@avalonpersonaltraining.com or you will be charged for the visit.  Personal Training Package and Class Pack expiration dates can be extended for a fee of $15.00 per 30 day extension.

4.  Any class marked with "Open Gym" as part of the title is FREE for all monthly members and monthly pre-paid members and will not deduct from your 1x,  2x, and 3x/week membership.  If you do not have a monthly or pre-paid membership, you can use a class pass to attend an open gym slot.  We do add/delete open gym times based on usage.

5.  You must register for class online AND sign in that you have attended.  This helps us keep track of who no-shows as well as actual class attendance which helps us better plan for capacity.  This is also beneficial to companies who reimburse members or award points to members as part of employee benefits programs.  You must have an actual signature for each attended class to qualify for most of these benefits.

6.  Starting in June 2011, Avalon started charging a one-time enrollment fee to off-set administrative and equipment repair costs associated with a larger membership base.  All customers signing up after June 2011 are subject to this one-time enrollment fee.

7.  Avalon qualifies for insurance reimbursement from most insurance plans, but you do usually need to have an unlimited monthly membership or pre-paid monthly membership to qualify for most insurance reimbursements.  Please check with your insurance provider prior to purchase.   If you can not access your full contract from your membership screen, please e-mail info@avalonpersonaltraining.com for a .pdf version of your contract and any necessary receipts or other documentation your insurance company requests.  Some area companies reimburse pay as you go options such as class packs and we can assist with providing receipts and other necessary documentation for your company's HR department.

8.  You can freeze your membership for 1 billing period at a time by giving 30 days notice to info@avalonpersonaltraining.com.  Each freeze is $15 per billing period.  If you unfreeze early, your billing dates reset.  We do not refund or apply any portion of your freeze fee to the next month's membership if you unfreeze early.

9.  If you need to cancel, upgrade, or downgrade a membership, we require 30 days notice by e-mailing info@avalonpersonaltraining.com .  If you cancel, you will be able to rejoin by paying the enrollment fee again as well as whatever the monthly rate is at the time you rejoin.  Upgrades and downgrades can happen on your next billing cycle.  We can not accomodate mid cycle upgrades or downgrades, so please e-mail us as soon as you think you want to upgrade.  You are not charged the enrollment fee again for an upgrade or downgrade.  If you'd like to purchase additional classes to use, you can purchase a single class pass here.  Please make sure you have booked out your max classes for whatever week you would like to attend the extra class.  If you need assistance after purchase, please contact info@avalonpersonaltraining.com .

10.  Failed autopays:  If your autpay does not go through, you have 4 days to correct your billing information and resubmit payment.  If after 4 days, your autopay still fails, your membership will be terminated and you will have to rejoin at whatever the rate is at that time and repay the enrollment fee.  This applies to any membership or fee such as the freeze fee that is billed on a monthly basis.  If there has been a previous issue with your account, and you were notified prior to the failure, but failed to correct the issue, your account will be terminated upon the failed autopay.  You can rejoin at the current rate and repay the enrollment fee.   Autopays that fail due to incomplete or inaccurate billing info will also be terminated immediately.
